1. Who we are and what this policy covers
Clematis Street (“Clematis Street,” “we,” “us,” or “our”) operates the local business directory at clematisstreet.org, including its editorial content, contact and listing forms, and the Clematis Street discovery app available through ChatGPT or other compatible platforms (the “App”). iLocal SEO develops and provides technical support for the App. Privacy inquiries for these services can be sent to info@ilocalseo.com.
This policy describes the personal information that we or our service providers may collect, why we use it, whom we share it with, how long we keep it, and the choices available to you. The App is a read-only business-discovery tool; it is not an account, reservation, ordering, payment, or messaging service. If you use the App inside ChatGPT, OpenAI separately processes your use of ChatGPT under its own policies and settings.
2. Information we collect
Information you give us through the website or social channels. If you submit a business-listing request, correction, inquiry, or other message, we may receive your name, business name, email address, telephone number, social-media handle, business details, and the content and attachments you provide. When you contact Clematis Street through Instagram, Facebook, X, Reddit, YouTube, or another social platform, that service also handles your information under its own policies. We do not ask for passwords, payment-card numbers, government identifiers, or medical information through the App.
Published business information. Our public directory may display business names, descriptions, categories, neighborhoods, publicly listed business addresses and phone numbers, website links, and hours. Some information may identify a sole proprietor or another individual. Directory listings may come from businesses themselves, publicly available sources, our editorial research, and corrections submitted to us. We do not intentionally expose unpublished WordPress drafts, password-protected listings, private editorial notes, private owner emails, or hidden service-area street addresses through the App.
App requests. To fulfill a ChatGPT request, the App may receive a narrow tool input, such as a business name or search term, category, neighborhood, listing slug, or requested result page. It does not require a Clematis Street account. The App is not designed to request your complete ChatGPT conversation, personal profile, precise device location, or unrelated files. If you place personal information in a search term, it may be included in the tool request.
Technical and usage information. When our websites or MCP endpoint are accessed, hosting, content-delivery, security, and analytics services may process information such as network IP addresses, approximate location inferred from IP, browser or client type, request times, pages or routes accessed, referral information, security events, and diagnostic data. An App request may originate from OpenAI’s infrastructure rather than directly from your device. We do not use App search inputs to build advertising profiles.
Cookies and similar technologies. Necessary cookies or comparable storage may support WordPress site operation, security, and forms. Optional analytics, if installed and enabled, may measure page views, referral information, and general browser or device information. Where legally required, we will request consent before placing nonessential cookies. You can restrict cookies in your browser, although that may affect site features. If the website displays a cookie-preference control, you can use it to change available choices. The ChatGPT App does not need a browser advertising cookie to retrieve directory results. The actual analytics, cookie, and consent tools in use must be verified before publication.
3. How we use the information
We use information only as reasonably necessary to:
- Search and display public directory listings and return relevant results through the App.
- Review applications, verify and maintain business listings, and respond to corrections or removal requests.
- Answer messages, provide support, and communicate about requests and directory services.
- Maintain website functionality, prevent abuse, investigate errors, and protect the security of our services.
- Understand website usage and improve accessibility and directory quality, where analytics is enabled.
- Maintain business records and comply with applicable legal obligations.
We do not sell or rent personal information. We do not intentionally use identifiable App search terms for cross-context behavioral advertising or train our own AI model on private ChatGPT conversations.
4. How the ChatGPT integration works
The App uses a secure server hosted separately from our WordPress website. It searches a limited, approved copy of published directory fields. A protected, server-to-server feed is used to retrieve that information; the feed’s authentication key is not shared with App users. The App returns business search results and listing information to the platform where the user invoked it.
The production directory snapshot is ordinarily refreshed every 15 minutes in server memory. If a refresh fails, a previously cached snapshot may be used briefly for up to 60 additional minutes. The snapshot contains directory data, not saved ChatGPT conversations. The App itself does not create a permanent database of individual user queries or accounts. Hosting infrastructure may nevertheless retain security or diagnostic connection logs as explained below.
The App currently supports three read-only actions: searching public business listings, retrieving an individual published listing, and listing available business categories and neighborhoods. Results may include the published business name, description, directory URL, public address (where allowed), phone number, website, category, neighborhood, and published opening hours when available. It does not require a Clematis Street account. It does not read or receive full ChatGPT conversations, unrelated files, private user profiles, or precise device location as a tool input; any information voluntarily placed in a business search term may still be sent with that request.
The App cannot make reservations, take orders or payments, modify WordPress content, view unpublished or password-protected entries, confirm live event schedules or current opening status, or guarantee availability. Business details may change, and any answer generated by ChatGPT may contain mistakes. Confirm time-sensitive details directly with the venue. The App is an independent integration and is not operated or endorsed by OpenAI.
Protection of public directory fields. The authenticated server-to-server feed is designed to exclude unpublished, password-protected, and deliberately hidden listings. For service-area businesses marked as withholding their street address, that street information is not intended to appear in the public App result. We review reports of unintended exposure and can correct or remove affected data at the source.
5. Sharing and service providers
We may disclose relevant information to the following categories of recipients, only for the functions described:
- ChatGPT and other user-selected platforms: they receive the App response that you requested. These platforms have their own privacy notices and account controls.
- Website hosting and infrastructure providers: our WordPress hosting provider (Pressable), MCP hosting provider (Render), and any DNS, CDN, or security vendors used to deliver and protect the service.
- Communications, form, and analytics providers: services that operate our contact forms, emails, support, and any analytics configured on the website.
- Professional advisers and public authorities: when reasonably necessary to comply with law, protect rights and safety, or respond to lawful requests.
- Business listing visitors: information intentionally published as part of an approved public business listing is visible to anyone who accesses the website or receives the relevant App result.
We require vendors under our control to use information for appropriate service purposes. Clicking a business website or social-media link takes you to a third party that controls its own practices.
6. How long we keep information
The following are our intended retention limits. Some records may be retained longer where law requires, a dispute is ongoing, or security investigations justify a limited exception. Deletion from active systems may precede removal from scheduled backups.
| Category | Intended retention |
|---|---|
| App search parameters | Not deliberately stored in a persistent App query database; processed to respond to the request |
| In-memory public directory snapshot | Refreshed approximately every 15 minutes; up to 60 additional minutes of stale fallback after expiry |
| Website contact and support inquiries | Up to 24 months after the last substantive interaction, unless needed longer for a legitimate dispute or legal duty |
| Unapproved listing applications | Up to 12 months after the final decision |
| Public business listing content | While published, with administrative correction/removal history ordinarily retained up to 12 months after removal |
| Security and access logs within systems we configure | Target maximum of 30 days in our operational systems, except documented security incidents; providers may apply their own retention schedules |
| Financial and tax records for any separately purchased directory services | As required by applicable law, which may extend for several years |
| Backup copies under our control | Removed in the regular backup rotation, targeted within 90 days after deletion from active systems |
7. Your rights and choices
You may contact us to request access to, correction of, or deletion of personal information we maintain about you, or to ask us to stop nonessential marketing messages. Where applicable law provides additional rights, including certain opt-out or appeal rights, we will honor them. We may need to verify your identity or your authority to act for a listed business, and some records may need to be retained for legal or security reasons.
How to make a privacy, listing-correction, or removal request
Email info@ilocalseo.com or use our contact form. Include the public listing URL (if applicable), business name, an explanation of what is wrong or private, and the change requested. For a request involving personal information, tell us whether you are the individual concerned or an authorized representative. We may ask for limited verification before making sensitive changes.
You may request review of access, correction, or deletion of personal information we control, removal or masking of a private address, correction of inaccurate directory details, and an opt-out from nonessential marketing communications. We will evaluate requests in light of applicable law, our editorial responsibilities, and any lawful recordkeeping obligation. We may be unable to erase copies maintained independently by other sites or platforms.
Do not send passwords, API keys, government IDs, payment-card data, or medical records by ordinary email or through the public contact form. Report suspected accidental disclosure using the same contact address without repeating the sensitive information.
Once a source listing is corrected or removed, the App’s in-memory snapshot will typically refresh within approximately 15 minutes; a failed sync can temporarily extend availability of cached records by up to about 60 additional minutes. Search engines and other AI services may maintain their own separate copies, which Clematis Street cannot directly erase.
How to contact us: info@ilocalseo.com or clematisstreet.org/contact/. Do not email passwords, authentication keys, payment-card details, medical records, or government identifiers.
ChatGPT account controls: For conversation deletion, exports, training preferences, or other ChatGPT account privacy requests, use OpenAI’s own settings and privacy request process. Clematis Street cannot directly access or delete your ChatGPT conversation history. If you used the App through another platform, use that platform’s privacy controls.
8. Security
We use measures intended to protect information, including HTTPS, a restricted read-only public App interface, authenticated server-to-server directory synchronization, field allowlists, and access controls. No online system can be guaranteed completely secure. Please report suspected vulnerabilities through our contact page, without sending sensitive data in an unsecured message.
9. Children
Our services provide general local business information and are not directed to children under 13. We do not knowingly solicit personal information from children under 13. If you believe a child submitted information, contact us so we can review and take appropriate action.
10. External websites, international use, and legal rights
The website and App may link to third-party businesses, social networks, or platforms whose practices we do not control. Information may be processed in the United States by our service providers. Rights and protections vary depending on your location; where applicable privacy law grants specific rights, we will address qualifying requests in accordance with that law.
11. Changes to this policy
We may update this policy as our services, vendors, or legal obligations change. The latest version and effective date will appear on this page. Material changes will be communicated by a reasonably appropriate method where required.
